The training matrix is usually a spreadsheet, and it is usually out of date

Certificates arrive by email. Someone types the date into a grid. The grid is accurate on the day it is updated and drifts from then on. Nobody finds out that a DBS or a moving-and-handling refresher has expired until an audit, an inspection, or an incident asks the question.

Meanwhile the evidence is real but scattered: certificates in inboxes, supervision notes in a filing cabinet, competency sign-offs on paper in the office.

One record per member of staff

Training, competency sign-offs, supervisions, appraisals, documents, warnings and disciplinaries, and leave all sit on the same staff record. A manager answering “is this person safe to work this shift?” looks in one place rather than three folders and an inbox.

Expiry warnings before the lapse, not after

Every dated item — mandatory training, DBS, right to work, professional registration, a moving-and-handling competency — carries a status that moves to due and then overdue on its own. The gap is visible while there is still time to book the course.

Certificates attached to the item they prove

Upload or photograph a certificate straight onto the training entry it evidences. When compliance is questioned, the proof is already on the record and already dated, rather than in someone’s email.

Competency, not just attendance

A course completed is not the same as a task performed safely. Competency sign-offs record who observed the practice and when, so induction and refresher cycles reflect what people can actually do.

Supervisions, appraisals and difficult conversations

Supervision and appraisal cycles appear as due work, and warnings or disciplinary records are held with dates, stages, outcomes and paperwork. Sensitive records are visible only to the roles you allow.

Nothing quietly disappears

Leavers and old records are archived rather than deleted, with retention periods you set, so employment history remains evidenceable long after somebody moves on.

Who can see what is decided by role

Staff records hold sensitive information, so access follows the account role rather than the job title on a badge. Registered managers see their own homes; group and senior roles see across the operator. Staff can view their own record without seeing anyone else’s, and records can only be changed by people with the permission to do so.

Accounts are invite-only: there is no public sign-up, and a manager invites each person to the homes they work in.
